Adding multiple children to your centre can be a time-consuming task if done one by one. Thankfully, LoveHeart offers a bulk upload feature to make this process quick and easy. Follow this guide to learn how to efficiently upload multiple children’s profiles into your centre in just a few simple steps.
Step 1: Prepare Your Spreadsheet To get started, you'll need to fill out a spreadsheet with the children's details and save it as a CSV format. Here’s what to include:
Full Name: Each child’s full name.
Date of Birth: Enter each child's date of birth in the correct format (e.g., DD/MM/YYYY).
Step 2: Access the Bulk Upload Feature
1.Log in to Your LoveHeart Account: Start by logging into your centre's LoveHeart account.
2. Navigate to the Journey's Section: "Journeys" tab is represented by a rocket ship
3. Select "+ New child" : Look for the “+ New child” option and click on it.
4. Select Bulk Upload: Look for the “Bulk Upload” option and click on it.
5. Choose Your File: Click on the “Upload File” button and select the spreadsheet you prepared and Press 'Next' to continue. Reminder that it will only accept CSV files.
6. Map Fields: After uploading, LoveHeart will ask you to map the fields from your CSV spreadsheet to the field's required. Click on the arrow pointing down next to "No value" to select the title from your spreadsheet that matches the LoveHeart field.
7. Review the Data: After uploading, LoveHeart will display a preview of the children with their Date of Birth. Review this information carefully to ensure it’s correct.
8. Fix Any invalid records: If any invalid records are detected, LoveHeart will highlight them with a red ! next to the child's name. Make sure to fix these before clicking 'next'
9: Confirm the Upload: Once everything looks good and all records are valid, click “Next.” LoveHeart will ask you to confirm the action, click 'Next' again to begin processing the data. This might take a few moments depending on the number of entries.
10: Verify the upload: After the upload is complete, check the "Journals" section to ensure all profiles have been added correctly. If needed, you can make manual adjustments.
